Responsibilities

Reporting to the Deputy Chief HR Officer and to the Director of Organizational Excellence and WorkLife, this position provides complex and comprehensive executive and analytical support to the DCHRO office functions and activities. Primary responsibilities include managing the complexity of DCHRO schedule and calendar; travel and conference arrangements; managing project priority scheduling with other executive offices across campus; coordinating staff schedules and absences; scheduling meetings, appointments, and conference calls; and evaluating and managing external vendor meeting requests with appropriate research. Researches and prepares background materials for important meetings. Participates in meetings as needed to prepare and circulate meeting minutes and follow-up expectations. Ensures comprehensive coordination of all DCHRO business travel, while working closely with key executives and staff in coordinating inter-related requirements of meetings, events, and travel.

Performs a variety of analytical tasks in support of day-to-day operations and special projects. Functioning as the central point of contact for a diverse range of issues, including those of a highly sensitive nature; This position facilitates responses and resolution for both internal and external stakeholders. Manages vendor contracts review and submission process; coordinates new and vacant position submissions for DCHRO through required review process; prepares complex Excel reports; and reviews, synthesizes and compiles concise presentations of lengthy and complex materials. Represents DCHRO office to internal and external constituencies to manage and accomplish the work of the DCHRO office, Director(s), and Manager(s).

Required Qualifications

  • Experience managing the calendar and commitments of a high-level executive and directors with multiple and varied local, regional, and national commitments, including all aspects of regional, national travel (lodging, transportation, policy application, and reconciliation).
  • Experience providing analytical, administrative, and project management support to a high-level administrator, such as an Executive of a large, complex organization.
  • Experience using a range of organizational and time management skills to coordinate and prioritize a diverse, complex workload and to meet competing deadlines in a fast-paced environment with high attention to detail.
  • Analytical and problem-solving skills to work with complex information, determine impact, identify risks, evaluate approaches; and develop solutions within the context of priorities, time constraints, and available resources.
  • Political acumen and collegial communication skills to interact with persons at all levels of the hierarchy with varying backgrounds, levels of expertise, interest, and personal investment.
  • Skills to extract and synthesize information from a variety of sources; ability to determine the level of impact on the Leadership Team’s commitments and responsibility and to translate, define and present that information to the Executive and Directors using sound judgment to make recommendations.
  • Writing, editing and proofreading skills to produce clear, well-organized information with strict attention to correct grammar, spelling, and punctuation.
  • Computer skills to apply various software programs (Microsoft Outlook, MS Exchange, Word, Excel, PowerPoint, and the Internet) to accomplish assignments.
  • Knowledge and understanding of campus-wide offices, administrative contacts, departments, and resources.
  • Knowledge and understanding of UCDMC/UCDHS/University policies and procedures and Staff Personnel policies and procedures. Experience planning ahead and anticipating the need for further action.
