The Department of Ecology and Evolutionary Biology (E&EB) is in search of a proactive, motivated and service minded individual to join our Administrative Team. This team member will be responsible for providing a wide variety of administrative services to all members of the Department. E&EB, which is part of both the College of Agriculture and Life Sciences and the College of Arts and Sciences, is a dynamic unit with an active and extensive mission in both teaching and research and consists of 25 distinguished faculty, nearly 70 staff and 60 graduate students with operations generating nearly $10m of annual expenditures.

The role of the Front Desk Receptionist is to provide administrative, clerical and reception support to all members of the department. The individual must be able to work with limited supervision in a collaborative, team centric environment focused on customer service.

Responsibilities include, but are not limited to:

– Course Coordinator for all Undergraduate and Graduate Course Offerings -Serve as Assistant to the Director of Undergraduate Studies (DUS) Committee and the Curriculum Task Force; created and maintain a comprehensive database of the over 60 active Department courses; update the Department’s portion of the University’s Courses of Study catalog; update information for the Course Roster every semester using the Course and Class Interface system; process Summer Session course information and budgets; coordinate classroom scheduling, prelim and final exam information, final grade submission, and the faculty and TA course evaluation process every semester; initiate and draft new and revised course proposals and serve as administrative liaison with the Biology and CALS Curriculum Committees; update course, TA, and instructor data for the online Arts College annual report system; generate enrollment permission codes and serve as first contact for undergraduate and graduate students enrolling in departmental classes.

– Course assistance to faculty – Copy and scan course materials and tests; coordinate textbook ordering and copyright permissions; process course supplies orders; coordinate field trip arrangements and monitor/report course budget status; provide high level assistance and back-up support to Graduate Field Assistant (such as handling Teaching Assistant listings in complex spreadsheets, obtaining and entering data into those spreadsheets; soliciting and collating feedback from graduate and undergraduate students in association with award nominations).

– General departmental needs – Maintain databases related to department directories, listings and photo boards; update and maintain department website (including soliciting new entries and updates; working with the Chair and web specialists on totally new items to improve website); coordinate supplies inventory/ordering; oversee vending, fax, copier and loaner AV/computer equipment; assist with annual report and in-depth program review; coordinate all aspects of mail services; manage key inventory; coordinate and track all internal graduate student awards; deposit, track and reconcile department gift records; assist accounting with bi-annual physical inventory; serve as back-up to the Chair’s assistant often handling confidential information; assist with accounting activities using complex spreadsheets including distributing course budgets with instructions and tracking expenses; serve as a reference for department, college and University policies and procedures; take notes for Chair at Faculty Meetings to draw up minutes that act as a permanent record (working closely with Chair to make final version of those minutes); work with student committees that coordinate catering etc. for the Holiday Party, Recruitment Weekend, helping with orders and storage of materials.

– Colloquium committee support – Prepare seminar schedules, agendas and posters/notices; order supplies; collect, monitor and report budget status; coordinate arrangements for guest speakers (outside the university) and process travel reimbursements and honorariums; coordinate coffee and snacks for the colloquium; assist the colloquium committee in ordering lunches where visiting speakers meet with grad students.

– Front office reception – Greet and direct visitors and department members; answer complex phone calls and walk-in inquiries; provide general clerical support as needed (copy, fax, scan, mail); update and maintain department bulletin boards.

Starting Pay Range: $20.37 – $21.83

Required Qualifications:

High School diploma with 2-4 years’ relevant work experience or equivalent combination. Must have proven strong skills with PC, MS Office and FileMaker (or similar database), Microsoft Outlook (email and calendar), Workday, Kuali, PeopleSoft, Acalog, eSHOP, Drupal, etc. or demonstrated ability to quickly learn. Must have excellent customer service skills and demonstrated ability to serve and communicate with a broad range of people and to work under pressure with many interruptions. Attention to detail and organizational skills are critical. Effective problem solving, creativity, sound judgment in accomplishing tasks that are urgent; and the ability to work well within a team of professionals are required. Must be able to adapt to changing priorities, situations, and demands. Demonstrated history of reliability and the ability to maintain confidentiality. Must be flexible and receptive to new ideas and approaches. Accuracy in spelling and grammar is required.
