Receives and addresses all correspondence for assigned physicians (via fax, phone, email, mail, and in person).

Associate degree or equivalent experience

Experience

2 years related experience working in a medical office or administrative capacity as an assistant.

License/Certification/Registration

No special certification, registration or licensure required.

Knowledge, Skills & Abilities

Proficient in Microsoft Office Suite. Organized, proactive, professional, and have a strong sense of customer relation skills. Ability to maintain confidential information while being adaptable to learn and be trained on various applications and support implementation of new projects/systems. Ability to multitask between competing priorities.

Primary Duties and Responsibilities

Contributes to the achievement of established department goals and objectives and adheres to department policies, procedures, quality standards, and safety standards. Complies with governmental and accreditation regulations.

Provides direct administrative support to VP of Medical Affairs and Sr. Director, Physician Practices [coordinating meetings, events, and other gatherings as required].

Processes paperwork for and serves as liaison with administrative departments, including but not limited to: Accounts Payable/Receivable, Payroll, MedStar Physician Billing Service, Managed Care, Human Resources, Finance, Medical Staff Office (credentialing), and MedStar IS.

Develops, distributes and tracks regular financial/productivity/quality indicator reporting for physician services.

Provides cross-coverage as needed for executive/administrative assistants in Hospital Administration; assist in training of new administrative staff in Physician Services (as needed).

Supports administrative and patient care coordination activities of MNRN Physiatry-Therapy Rapid Access Telehealth initiative. Assists with financial activities: prepare, process, track, and maintain purchase orders, vouchers and expense reports. Order and maintain inventory of all essential office supplies, forms, and office products.

Provide administrative support to Sports Medicine physicians, which includes but is not limited to: liaising with surgery center (and multispecialty sites, troubleshooting patient service issues, and developing operational improvements.

Retrieve voicemail messages in a timely manner. Return all telephone calls within 24 business hours (as required). Record and relate correct messages (i.e., spelling of names, correct telephone numbers, etc.).

Transcribe, type, proof, assemble, and distribute reports, memo, letters, and other correspondence following system-wide established formats and procedures. Assist with the preparation of written information, program agendas, notes, presentation slides, and other written correspondence (as required).

Facilitates onboarding for new physicians and associates, ensuring all credentialing and/or clearance requirements are satisfied between HR and Medical Staff Office. Coordinates training and introductions.

Schedule appointments (i.e., initial, follow-up, rescheduling of appointments) (as needed). And conduct patient appointment reminders for assigned physician(s)/program(s) (i.e., Infusion Center, concussion clinic, etc.). And when applicable, pre-register discharged inpatients into Outpatient EMR in accordance with established guidelines. Document all patient related issues into EMR (e.g., prior-authorizations, phone notes, messages, letters, etc.) .

Supports activities of the Medical Staff Office as it relates to credentialing and compliance, and helps coordinate Medical Executive Committee, Credentials Committee, and Quality Committee meetings as directed by the VP of Medical Affairs.

Participates in meetings and on committees and represents the department and hospital in community outreach efforts.

Participates in multi-disciplinary quality and service improvement teams.
