The Program Administrator is responsible for administering the day-to-day administrative operations for a new program at CLEE called GrizzlyCorps, which is an AmeriCorps Service program. Under the direction and supervision of the Director of CLEE’s Project Climate and GrizzlyCorps Program Manager, the Program Administrator will assist in a wide range of administrative services including determining placement sites for GrizzlyCorps fellows, recruitment of fellows, development of training programs, completion of multiple forms and systems required by AmeriCorps, fundraising outreach, communications, event planning, business services, and human resources, and possibly including IT, facilities, financial support, and/or student services. General management duties include long and short-range strategic event planning and supporting all administrative activities.

Administers defined operational programs and activities for GrizzlyCorps, a new AmeriCorps program, which may include some of the following functions: business services, finance, grants and contracts administration, facilities, space planning, student services, human resources, communications, or informational technology. Tasks vary in scope and complexity, but require high-level independence, self-direction, and decision-making.
- Assists in day-to-day coordination and administration of the AmeriCorps program, including interactions with GrizzlyCorps fellows and placement partners.
- Serves as the administrative point of contact and responds to all administrative inquiries; ensures that records and databases are current and accurate; and provides other administrative support for the GrizzlyCorps programs
- Distributes, collects, and maintains personnel documentation to ensure AmeriCorps member eligibility
- Support/facilitates AmeriCorps events and trainings, including but not limited to pre-service orientation, monthly webinar trainings, and AmeriCorps Graduation.
- In conjunction with other staff and faculty, assists in planning and budgeting, coordinating, and administering GrizzlyCorps/AmeriCorps programs and events, both internal at Berkeley Law and external for placement partners, training partners, and supporters. This includes assisting with grants and contracts management.
- Assists the Executive Director, GrizzlyCorps Program Manager, and others in hiring and supervising GrizzlyCorps members and placement site participants.
Participates in the development and revision of materials for online, print, and other distribution, including web content, print publications, and marketing, publicity and other outreach materials.
- In collaboration with staff and faculty, helps develop newsletters, publicity materials, student outreach materials and other correspondence for the GrizzlyCorps program, for use in alumni mailings, annual reports, marketing purposes, and other.
- Manages the GrizzlyCorps website and social media accounts (Twitter, LinkedIn, etc.), developing content as necessary and working with the GrizzlyCorps Program Manager to maintain a strategic digital communication plan.
- Assists in ensuring that contact databases are kept up to date and used effectively.
- Ensures that the program’s web presence is optimized, and that web content is dynamic and current.
Supports in processing financial transactions. This includes supporting with grants and contracts, and engaging in financial and administrative maintenance processes.
- Processes business transactions including invoices and reimbursements in BearBuy, and researches and resolves vendor issues as required.
- Administers program budgets and produces financial reports for relevant sponsors.
- Assists with ensuring compliance with federal and state requirements and internal campus policies
- Researches prospective sponsors for the program, including governmental, foundation, and individual sponsors.
- Assists with travel arrangements for invited speakers, staff, and students.
- Purchases and processes reimbursements for supplies and other items.
Data and Evaluation Compliance and Institutional Memory:
- Lead for AmeriCorps data collection, including Gap Assessments and Member Surveys
- Supports member timesheet collection and evaluation
- Maintains systems for capturing and tracking institutional memory to enable program growth and coordination with other related UC AmeriCorps and/or public service initiatives.
- Knowledge of a variety of administrative operations activities such as events planning, fundraising processes, website management, finance and accounting, and contracts and grants regulations and guidelines.
- Solid communication and interpersonal skills to communicate effectively with diverse audiences, both verbally and in writing.
- Strong skills in short-and long-term planning, analysis and problem solving and customer service.
- Solid organizational skills
and ability to multi-task with demanding timeframes.

- Bachelor’s degree in related area and/or equivalent experience/training.
- Prior administrative and/or office management.
- Interest and/or experience in environmental and/or energy law and policy and/or AmeriCorps.
- Experience as an interviewer.
- Familiarity and competence with Adobe tools (InDesign, Illustrator, Photoshop) and experience with various data management software platforms such as Excel and Salesforce.
- Experience with or ability to learn campus-specific computer applications such as BearBuy and CalAnswers.
- Experience with print and digital marketing.
Salary & Benefits
- This position is a non-exempt, bi-weekly paid position. Hourly pay for this role is commensurate with experience within the range of $28.45 – $30.43, Step 3.0 – 6.0.
- This is a full-time (40 hours/week), Career position, and eligble for full UC benefits.
